They connect to our TRACE system or to the IPMS installed by the office, even if it is not ours.
CLEAR
Conventional surveillance services require many man-hours to filter relevant results.
This agent-based module uses criteria defined by the firm for related classes, renowned brands, generic words, etc.
The results are presented to the human with a category to facilitate decision-making:
- Candidates: to report to the client
- Possible: for analysis by the human responsible for the process, determining their change to either of the other two categories
- Discarded: not reported to the client
The human can change the category to have a final list showing the discarded and candidate brands as results.
The CLEAR agent layer learns from the review carried out by the responsible human, so that fewer resources are allocated (a reduction of 60 to 80%), as fewer and fewer are classified as possibilities.
Knowledge
With the documentation accumulated over the years by the firm (emails, Word documents, PDFs, PowerPoint presentations, videos, webinars, podcasts, Canva, etc.), an agentic layer module is built, which is not accessible on the internet and is limited to the use determined (internal collaborators, associates, clients, general public, etc.).
An intelligent virtual assistant is included so that users can ask questions in natural language. This means that they receive answers limited to that internal knowledge.
It is possible to connect it to external databases from trusted providers (e.g., legal databases), which gives the questions and answers greater scope.
Document generation
This agentic module generates documents, reports, studies, analyses, resources, etc. It is always based on the work that the firm has developed over the years, meaning that this generation is limited to that knowledge and ensures that the style (content and form), know-how, arguments, past successes, etc. are respected.
Replacement of human review of emails, feeding relevant data into the IPMS, and monitoring deadlines are replaced by an agent-based module that processes every email received by the office, classifying it by type of service, complaint, quote, etc. Connected to TRACE, the module also feeds the manager’s Calendar with the corresponding response date, as well as monitoring it through reminders and alerts.
Various reports can be configured according to the client, manager, or area for a selected period of time: complaints, response time, new clients, new requests, quotes, etc., so that area managers, directors, partners, etc., can supervise the business.
AI first IP Firm
The digital transformation of law firms meant having a different platform for each business function: IP management system, CRM, ERP, data lake to build dashboards with PowerBI, etc.
We offer to simplify all this by introducing a module with an agent layer (AI, MCP, agents, etc.) that coordinates all the systems and to which the user addresses their requests in natural language, in an intelligent virtual assistant. The user experience becomes very different; there is no need to know how to use all that software or depend on other people, and you get what you want quickly and easily.
ATLAS
Law firms face an uncomfortable paradox: they need good junior lawyers, but senior staff don’t have the time to train them. ATLAS is a module with an agent layer that trains better lawyers faster, with fewer mistakes and structured learning, achieving a level of productivity equivalent to two to three years of experience and significantly reducing the time spent by seniors on review.
ATLAS is an AI-based mentor, integrated into the day-to-day running of the firm, designed to accompany junior lawyers in their actual work, using the criteria, style, and culture of the firm itself.
Other advantages for the firm include: better investment in training, early detection of talent, better promotion and retention decisions, brand reinforcement, attracting better candidates, and focusing on younger profiles.
Contract generation
It is a module with an agentic layer for generating contracts, based on contract history, templates defined by the legal department, and sorted/sortable by subject matter, jurisdiction, client, etc. It also includes automatic multi-departmental approval flows (Legal, Business, Operations, etc.).
The control dashboard offers real-time traceability of contract status, review times, and potential bottlenecks.
When connected to TRACE, it is incorporated into the Calendar module as a system for tracking the contract signing process, as well as the fulfillment of the obligations of each of the parties to the contract.
Data Quality
It is a module with an agentic layer that allows the comparison of information from the firm’s database with the information that appears in the Intellectual Property Office system to detect differences, which are presented to the person responsible for the process to determine whether or not to make the change in the internal database, as well as the actions to be taken.
Its main applications are to compare the data in the documents submitted in an application with those in the certificate to identify possible differences (in the names of the inventors, name of the applicant/owner, classes, products, services, etc.), as well as critical errors (legal date, priority date, renewal date, etc.).
Quote generation
The agentic layer module allows you to prepare customer quotes, taking into account the internal rate table (type of procedure, country, classes, volume, urgency, discounts, etc.), the costs of foreign agents involved in operations outside the national territory, official rates, taxes, and fees, all adjusted to the different official exchange rates on the corresponding days.
In addition, a tracking and alert system is included for each quote until its approval or withdrawal (explicit or otherwise).
Translations
It is a module with an agentic layer that replaces commercial tools, reuses translation memories built up over years (which represent a valuable wealth of knowledge in terms of technical and scientific terminology), and allows us to offer the same quality service, but at much more competitive prices.
Subsequent review by an in-house translator or patent technician is required. The agentic module is constantly learning, allowing for the accumulation of memories, updating of glossaries, etc.
With regard to the format of translations, the legal requirements for each country (margins, line spacing, sections, subtitles, etc.) are configured to ensure compliance. This means that the same translation can be used for several countries.
Business Development
The information stored in national and international IP offices is public. However, obtaining and processing it involves many man-hours of work. The aim is to provide law firms with data to support sales:
- Public data on competitors representing clients we would like to approach is fed into the system.
- A series of KPIs are applied to this data, which may be relevant when deciding whether the work carried out by these third parties (or the firm itself) meets a certain standard.
- For example: number of official actions or oppositions to applications; whether they are errors or oppositions due to formal or substantive issues, processing time, etc.
- These KPIs are used to create a dashboard to compare how our competitor performs for the client we are interested in attracting vs what the firm does with a client in the same business sector or industry in the same jurisdictions.
In conclusion, we move from selling by price to selling by data and quality, leaving the price safeguarded. A service with adequate KPIs is not worth the same as another with lower KPIs.
KPI dashboard by area
To measure the efficiency and quality of key processes, this module with an agent layer is incorporated to identify relevant indicators by area. The panel allows you to select the time period (including previous years for comparative analysis) and the results are presented as a traffic light so that it is very clear whether the process is within range (green), at the limits of the operation (yellow), or outside (red).
This allows supervisors to quickly determine deviations and take action. For example, a critical input for dispatches is the number of new requests to be submitted in the week/month, as this is the raw material for the rest of the services.
Bids
The agentic module automatically reads specifications, annexes, and contracts from the firm’s repositories. It also detects relevant contractual obligations without manual intervention, creating tasks and alerts in the firm’s system, as well as managing contract extensions without duplicating opportunities. In this way, it tracks all information and evidence, maintaining control and auditability.
Therefore, this agentic module accelerates business capture and strengthens compliance because: it increases the speed of bid preparation and analysis; it reduces the risk of non-compliance, penalties, and human error; it improves post-award control with visibility of milestones and deadlines; it decreases operational friction between teams by improving commercial-compliance alignment; and leverages the existing office system.
