The objective of the agentic module system for IP management is to automate and control the flow of communications issued by national and international intellectual property offices to the person in charge of the firm who handles requirements, deadlines, monitoring, etc., in order to attend to the end client's portfolio in a timely and appropriate manner.
This system consists of the following four modules with an agentic layer:
01
E Comms
The agentic layer achieves 70% efficiency in administrative tasks and 80% efficiency in supervisory activities, freeing up man-hours and reducing costs.
Other KPIs
- Improved earlier detection of communications, resulting in more time for analysis and decision-making.
- Reduction in human error.
- Increased employee satisfaction due to optimized time management following the reduction of repetitive or low-value tasks.
- Ability to absorb a greater workload without hiring additional staff.
About
It is a solution based on connecting with national intellectual property offices (e.g., IMPI in Mexico, DNPI in Uruguay, OEPM in Spain) or international offices (EUIPO, WIPO, etc.). This allows the firm to track its clients’ cases that are being registered or processed within those offices.
It is controlled management, as each client’s case is constantly updated and these communications are sent to the email address of the person responsible at the firm.
Therefore, the manual review and downloading of official communications (which involves hours of human labor and possible errors) is replaced by an agentic layer that ensures that these communications reach the person responsible for their timely and proper attention.
02
Calendar
Our agentic layer achieves 80% efficiency in administrative tasks and 75% efficiency in workload distribution and monitoring activities, freeing up man-hours and reducing costs.
Other KPIs
- 15-20% reduction in time spent on legal analysis.
- 30% reduction in internal communications for task assignment and coordination.
- Greater strategic control of tasks and deadlines.
- Risk reduction of missing deadlines.
- Strategic consistency in related cases.
- Reduction in human error.
- Ability to absorb more workload without hiring additional staff.
About
It is a module with an agentic layer for managing and controlling deadlines that automatically processes communications from national and international intellectual property offices to identify, classify, assign, remind, etc. the different types of deadlines.
It is configured by manager, supervisor, alerts, etc., according to the firm’s processes.
This replaces manual data review and capture with an agentic layer that ensures the correct recording of deadlines and the necessary control to comply in a timely manner.
03
CLEAR for trademark watch
The agentic layer achieves 80% efficiency in the administrative tasks necessary to identify potential conflicts, freeing up man-hours and reducing costs.
Other KPIs
- 5% increase in negotiations due to early detection of incidents or conflicts in surveillance.
- Defined and consistent criteria
- Reduction in human error.
- Ability to absorb more workload without hiring additional staff.
- Greater employee satisfaction due to optimization of their time following the reduction of repetitive or low-value tasks.
- Reduction in operational friction within the administrative team, resulting from repetitive or tedious tasks.
About
Conventional trademark watch services require many man-hours to filter relevant results.
This agentic module uses criteria defined by the firm for related classes, well-known brands, generic words, etc.
The results are then presented to the human with a category to facilitate decision-making:
- Candidates: to report to the client
- Possibles: for analysis by the human responsible for the process, determining whether to change them to either of the other two categories
- Discarded: not reported to the client
The human can change the category to obtain a final list showing the discarded and candidate trademarks.
The CLEAR agentic layer learns from the review carried out by the human responsible, so that fewer resources are allocated (a reduction of 60 to 80%), as fewer and fewer are classified as possible.
04
Files

About
Opening and updating files in conventional management systems requires considerable human resources, with the potential for associated errors.
This agentic module, together with the E Comms module, allows all documents and information associated with a case to be stored correctly in a file. In addition, users can easily find out the status of the case, related files, relevant milestones, agreements with the client, etc.
Due to its integration with the Calendar module, deadlines related to missing information and/or documentation (e.g., priority document, power of attorney, translation, etc.) can be monitored.
